Point of Sale

BAYCREST, a premier academic health sciences center focused on aging, provides care and service to approximately 2,000 people a day through the Baycrest Geriatric Health Care System.

This system includes wellness programs, residential housing and outpatient clinics, to a 472-bed nursing home, and a 300 bed continuing care hospital facility. So when they saw that their cafeteria's aging cash register system was in dire need of a modern restaurant point of sale and back office software solution, they turned to Volanté Systems and NCR to come to their aid.

The staff at Baycrest were using antiquated, 20 year old cash registers, which were not only slow and inefficient, but had also become impossible to repair. Making the simplest changes to a menu item had become a complex task requiring hours of work.

For Andrea Bronstein, Project Manager at Baycrest, the time had come for a new, powerful, and reliable restaurant POS and back office software system that would increase efficiency, productivity, and hopefully impact the bottom line as well.

After sourcing out a few POS software companies, Bronstein finally decided on Volanté POS Systems for the software engine, and NCR's RealPOS™ 70 terminals for the hardware.

Do You Need a Point-of-Sale System for Your Small Business?

Point of sale system means different things to different people: it can be a glorified cash register, or an integrated system that joins sales, inventory, purchasing, and bookkeeping. If your business is still running on an old-fashioned cash register, odds are you could benefit from moving to a point of sale, or POS, system.

While the complexity of POS systems varies greatly, there are some essential elements shared by all systems:

a computer and monitor
point of sale software
a receipt printer
and a cash drawer

All but the most basic systems will also include barcode capability, which will generally include a barcode printer and scanner.

You may even have the makings of a POS system sitting around in your store or office. The computer does not have to be anything special — just about any Windows OS PC will do the job. Same goes for the printer — put that decommissioned inkjet to work in your POS system. You could even download a free point of sale software program to run your system; this means that all you will need to buy is a cash drawer to build a bare-bones system.

However, if you want to take full advantage of your POS system, you will need to tie it to your inventory, pricing, and bookkeeping functions, which means you will probably want to employ barcode readers. Not only will implementing a barcode system simplify the checkout process and reduce errors, but it will allow you to dynamically update your inventory numbers as the merchandise leaves your store. You can program your POS software to alert you when stock hits a certain threshold so you can order more before you run out.

An integrated POS system will quickly uncover instances of shrinkage. If your stock on the shelves does not square with the stock numbers in your POS system, you will know something is wrong. Whether it's damage or theft, a POS can tip you off sooner, or give you proof when before you only had a hunch.

You will also get a better picture of product lifecycles, customer buying patterns, seasonal trends, and much more. Most full-featured POS software programs offer reporting options based on these and other criteria.

However, before you run out and buy some random system off the rack, do some research. Every market has different needs, and there are POS systems designed for many different types of marketplace. Talk to colleagues in your industry and see if there is an industry standard POS system for your vertical market. And even if there is not a system specific to your needs, there is probably one that can be configured to solve your specific business challenges.

Point of Sale (POS) 101

Basics of a Retail Point of Sale System

The chances are, if you're reading this, you're searching for a point of sale system for your business. Before you make a decision on purchasing anything, it is imperative for business owners or operators to learn and research as much as you can regarding the product in question. You need to ask yourself a few questions. One of them being - "what features & functions would I need from a POS System for my business?". While you think about that, let us explain briefly on the basics of a POS System.

Which factor makes a point of sale system most valuable? A POS system should help you alleviate the daily chores of your business. A POS system should not interfere or make it harder for you to run your business. It should run parallel to your business operation. A perfect POS system should run your business for you, but not in a literal sense where it takes TOTAL control.

You want one comprehensive package for your entire business, either small or large. And it should scale as much as your business grows.

Point of Sale System

The Parkway School District Food Services Department uses a computerized Point of Sale (POS) system for the purchase of school meals. The POS system is used rather than cash registers and sets up a virtual bank account for each student .

Each student is assigned a Personal Identification Number (PIN). The PIN number is used to access your child's account. Students receiving financial aide also use a PIN number and no one knows a student's meal status. Students should memorize their PIN number because they will need to enter it in a number pad at the cashier's station when making a purchase. When your child uses the system, meals or ala-carte items purchased will be deducted from the account balance.

Any amount of money may be deposited in your child's POS account. You may pre-pay weekly, monthly or yearly. Think of the POS system as recurring payment to be replenished at your convenience. A pre-payment is NOT mandatory although at the elementary level, deposit envelopes are required daily if no pre-payment is made. We do encourage pre-payment because paying in line at the secondary schools delays service. Pre-payment into your child(ren)'s account may be made by cash or check using deposit envelopes available in the cafeteria or you may use a plain envelope. You may also choose to address dietary concerns or expenditure of account funds by writing in the Comments section on the envelope.

Write your child(ren)'s PIN number, name and amount of money to be credited to the account on the front of the envelope. If you have more than one child attending, you may write one check and designate the amount to be credited to each child's account. However, if you have a child in another school, a separate envelope should be sent to that school. Make checks payable to Parkway Food Services, seal the envelope and have your child place it in the deposit box at school. All deposits will be collected daily after breakfast and credited by lunch time.

If your child is receiving free meals, you need send no money. However, the student will still be required to enter his/her PIN number when receiving meals. You may deposit money into his/her account for ala-carte purchases if you wish.

Your child should always press the "Enter" key after entering the PIN number. After a student enters his/her PIN number, their account information AND their photo will appear on a computer screen to verify identification. The photos are digitized versions of your child's school picture, which offers you the security of knowing that ONLY your child can access his/her account.

We hope you enjoy the convenience, security and speed of the service of the computerized point of sale system. We encourage you to consider a pre-payment. The more participation we have, the faster the service for your child at school. If you have any questions about the system, please call Parkway Food Services at 314.415.8246 or email us via this web site.

What is POS Systems?

Today’s point of sale (POS) systems are much more than a cash register. POS systems have become an interactive conduit between customers and retailers. POS systems display items and price, calculate taxes, process returns and voids, produce sales reports, and more. They quickly and accurately collect sales and customer information to help make better informed decisions.

POS systems work hand-in-hand with enterprise resource procurement (ERP) systems, supply chain management (SCM) systems, and customer relationship management (CRM) systems to keep accurate inventory in stock. POS systems also provide key support to customer-focused initiatives such as rewards and loyalty programs.
